Shared ownership means permanent change

Jetfly is a European operator of shared ownership and charter on a fleet of Pilatus PC-12 and PC-24, with an availability guarantee that stands out in business aviation. For Mathieu Leroi's Crew Operations department, that means answering every co-owner request, even below notice, and replanning constantly. Rostering, daily planning and crew support never sit still.

Before: two Excel files carried the whole operation

One workbook per fleet, five tabs each, pilots' qualifications kept by hand and up to ten people working in the same file. Crashes and bad saves cost data more than once, and read-only copies drifted apart. When the workbooks and the operations system disagreed, the surprises landed late at night: pilots marked ON who were not, extra ferry flights, standby call-outs triggered in a hurry.

The switch: an add-on connected to FL3XX

SkAI Tech replaced the workbooks without replacing the tools around them. Connected to FL3XX, it receives crew, qualifications, flights and activities, and writes rosters and assignments back. Everything is entered once, and everyone reads the same roster. The team also kept the flexibility it had refused to give up in an earlier attempt. The roster follows Jetfly's 7-on/7-off and 14-on/14-off patterns, and is still adjusted by hand whenever the operation demands it.

After: from rosters to staffing decisions

Crew pairing that used to be letters in spreadsheet cells is now visual, down to pairing Line Training Captains with the pilots they bring on line. Dashboards read by management surface team imbalances, absences and training capacity, and feed the staffing meetings where Jetfly decides to recruit, rebalance bases or redistribute teams. The roster stopped being a file to back up. It is now data the whole company can act on.
